Responsibilities and tasks

Overall objective

Provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the CEO.

Responsibilities and tasks

  • Coordinates CEO’s schedule, calls for meetings, monitors email correspondence while routinely updating him to keep him informed of upcoming commitments and responsibilities.
  • Completes a broad variety of administrative tasks for the CEO and Board Members including: completing expense reports, preparing correspondence that is sometimes confidential, arranging detailed travel plans, itineraries and agendas, supported by the remaining administrative team when needed.
  • Ensures that the CEO's schedule is followed and respected. Provides "gatekeeper" and "gateway" role.
  • Acts as single point contact for the company jet - scheduling, travel and coordination
  • Provides a bridge for smooth communication between the CEO and internal departments; demonstrating integrity to maintain credibility, trust and support with senior management and administrative staff.
  • Participates in management meetings to take notes for distribution and follow-up.
  • Coordinates and arranges meetings, conferences, events, preparing agendas, reserving and preparing facilities, etc.
  • Manages special projects as needed, e.g., team building events, larger company events, etc.
  • Collaborates closely with the remaining administrative team
  • Works effectively with the communications department to keep the CEO well informed of upcoming events, commitments and responsibilities, following up appropriately.
  • Maintains discretion and confidentiality in relationships with all board members.

Qualifications & personal attributes

  • High school diploma and at least five (5) + years applicable executive-level support experience, preferably in one of the following fields: engineering, construction or oil/gas/chemicals.
  • Bachelor's degree is preferred.
  • Ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.
  • Excellent communication and interpersonal skills.
